Disclosure first: Pixxoft makes a salon management system, so weigh our view accordingly. The questions below apply to any vendor.
A salon's day runs on appointments, so the right software is the one that makes the calendar reliable and the rest of the admin disappear. Here is how to evaluate it.
Begin with the problems you have today
Do double bookings happen? Are client preferences lost between visits? Do cancellations leave gaps nobody fills? Is commission worked out by hand every month? List what actually goes wrong, and judge every system against that list.
Features worth checking
Appointments and calendars: a calendar per stylist, online self-booking so clients can book outside opening hours, reminders, and a waitlist that fills cancellations.
Client records: visits, services, products and notes on one profile, so anyone on the team can pick up where the last appointment left off.
Services and pricing: services, durations and add-ons defined once, so the calendar and the checkout read the same list.
Staff and commission: a record of who performed what, with commission calculated from your rules, and a view of each stylist's own day.
Payments and reporting: payment at checkout and revenue by service, stylist and day without exporting to a spreadsheet.
Questions to ask any vendor
Can you import my existing client list, and can I check the result before going live? Who owns the client data, and can I export it? Is training included? What does support look like when the salon is busy? How is pricing structured, and what does it include? Ask to see the system in use rather than relying on a feature list.
Is it only for hair salons?
Any business that books appointments against staff time can use this kind of system, including barbershops, spas and clinics. What matters is that services, durations and add-ons are configurable to how you work.
