Case Study

A custom stock management system for Ceyora — one place for products and stock levels, purchases and suppliers, and sales that deduct stock and produce invoices, with low-stock alerts and reports on stock value and movement.

Ceyora Stock Management — project visual

Overview

Ceyora needed to know what it actually had in stock. We built a stock management system that follows every item from the supplier to the sale: what came in, what went out, what is left, and what needs reordering.

The Challenge

When purchases are written down in one place and sales in another, the real quantity on the shelf is only known by walking over and counting. Items run out before anyone notices, others are over-ordered, and nobody can say what the stock on hand is worth without a day of work.

The Approach

  1. 01

    One catalogue, one count

Every product sits in a single catalogue with its current quantity and a low-stock threshold, so the number on screen is the number on the shelf.

  2. 02

    Stock in, against a supplier

Purchases are recorded against suppliers and goods are received into stock, so quantities rise only when stock has actually arrived.

  3. 03

    Stock out, with an invoice

Each sale or issue deducts the quantities automatically and produces an invoice, keeping the count right without a separate tally.

  4. 04

    Warnings and reports

Items that fall below their threshold are flagged for reordering, and reports cover stock valuation, movement history and sales.

The Outcome

Ceyora now tracks stock in one system instead of separate records. Purchases and sales update the same count, low stock is flagged before it runs out, and the value and movement of stock are a report away.
